As the Events Administrative Coordinator at Million Dollar Sellers (MDS), you will play a vital support role in the execution and administration of our high-level events, squad initiatives, chapters, and community programming. You’ll be the operations backbone—managing logistics, fielding member questions, coordinating guest lists, and keeping the team on track. Requirements

  • Operational Systems & Documentation
    • Maintain event planning checklists and SOPs across all event types.
    • Track completion of logistics tasks (e.g., badge printing, catering confirmations, AV setups)
    • Update Airtable/ClickUp databases with registration and event-related data.
    • Organize shared folders and templates for future use (e.g., name tag files, registration exports).
  • Team and Member Communication
    • Serve as the point of contact for member inquiries related to:
    • Chapter assignments and introductions
    • Squad program and member troubleshooting
    • Event access, registration status, and guest passes
    • Team users access
    • Monitor inbound requests via email or help desk form and escalate as needed.
    • Coordinate communications between internal departments and vendors during pre-event and event windows.
  • Event Support and Coordination
    • Build and test event registration pages using provided templates (e.g., GoHighLevel, Typeform).
    • Input and double-check attendee details, ensuring guest names, emails, and chapter affiliation are accurate.
    • Prepare, format, and export attendee data for badge printing.
    • Review guest lists for duplicate entries, errors, or missing information before events.
    • Manage small day-of tasks like attendee check-ins, signage prep, or document printing as needed.
  • Vendor & Venue Outreach: 
    • Research venues and vendors (e.g., photographers, printers, florists) that fit event criteria.
    • Send outreach emails, collect availability and pricing, and track responses in ClickUp
    • Coordinate follow-up communications and schedule intro calls when needed.
    • Support contract filing and coordination handoff to senior event staff.
  • Project & Program Support
    • Assist with cross-functional projects like onboarding flows, chapter mapping, or feedback collection.
    • Input member data into spreadsheets or forms for tracking and reporting.
    • Flex into new projects as needed during high-volume event seasons.
    • Support calendar management or scheduling of internal meetings tied to event prep.

QUALIFICATIONS

  • Significant experience in executive support roles, demonstrating a capacity for high-level administrative management and strategic support.
  • Proficiency in digital tools (e.g., MS Office, ClickUp, Slack, Airtable) essential for remote work and project management.
  • Excellent communication skills, both written and verbal, with the ability to manage complex information and interactions.
  • A proactive, results-oriented mindset, with a commitment to continuous improvement and professional development

Benefits

Salary:

  • $750/month

Bonus Opportunities:

  • Team members are eligible for a 13th-month payment, typically paid out at the end of the calendar year. This benefit is designed to recognize consistent contributions throughout the year and is contingent on active employment at the time of disbursement.
