We are currently seeking an HR Admin Lead to join our internal HR team. This is a key role for someone who combines strong operational skills with leadership capabilities and strategic thinking. You’ll be responsible for overseeing core HR administration processes, mentoring junior HR team members, and working closely with senior stakeholders to ensure smooth HR operations across countries.

Requirements

Key Responsibilities

Team & Process Leadership

  • Lead day-to-day HR administrative operations across multiple countries.
  • Act as the first point of escalation for HR Generalists and provide guidance on complex HR administrative matters.
  • Support and mentor junior HR staff in their daily activities, ensuring high standards of delivery and consistency.
  • Collaborate with the HR Manager and other internal stakeholders to continuously improve HR processes and workflows.

HR Administration & Lifecycle Oversight

  • Ensure efficient management of the employee lifecycle, from onboarding to offboarding, including contracts, amendments, confirmations, and terminations.
  • Oversee accurate data entry and maintenance in HR systems, ensuring compliance with GDPR and internal data policies.
  • Coordinate visa/work permit processes and ensure compliance with local employment regulations.

Compliance, Documentation & Policies

  • Ensure full adherence to internal policies and legal requirements in different countries.
  • Assist in reviewing and implementing HR policies and procedures aligned with legal changes and business needs.
  • Support internal audits and reporting on HR compliance topics.

Payroll & Benefits

  • Act as the liaison between HR and Finance teams regarding monthly payroll inputs and compensation changes.
  • Coordinate benefits administration and support compensation benchmarking projects.

Cross-functional Collaboration & Stakeholder Management

  • Partner with HR Business Partners, Finance, IT, and local teams to ensure seamless delivery of HR operations.
  • Build strong relationships with key internal stakeholders to understand business needs and proactively address operational challenges.

What We’re Looking For

  • Bachelor’s degree in Human Resources, Business Administration, or a related field.
  • Minimum 4–5 years of experience in HR operations/administration roles within international or service-based organizations.
  • Solid understanding of HR processes, employment documentation, payroll coordination, and compliance topics.
  • Strong organizational and prioritization skills, with the ability to manage multiple requests and deadlines.
  • Excellent communication skills and ability to collaborate effectively with both junior staff and senior management.
  • Fluent in English; other European languages (especially German) are a plus.
  • Hands-on, proactive mindset with a continuous improvement attitude.
  • Willingness to provide a recent criminal record extract (not older than three months).
