Role: Inbound Sales & Fulfillment Assistant
Hours: 8:30 AM - 5:30 PM Eastern Standard Time
USD Monthly Rate: $1,120 - $1,440

We are looking for a proactive, detail-oriented, and customer-focused Virtual Assistant to support inbound sales operations and order fulfillment for a fast-growing custom apparel business. This role will play a critical part in helping the company achieve a 30% growth goal by ensuring timely, accurate, and professional handling of customer inquiries, quotes, and orders.

You’ll work directly with customers and internal stakeholders to build quotes, set up online stores, and manage repeat orders, with a strong focus on accuracy, responsiveness, and excellent service.

Responsibilities

Inbound Sales Support

  • Respond quickly and professionally to inbound emails via Front App Shared Inbox platform, Phone calls, and online inquiry Submissions,
  • Build and manage quotes and invoices in Printavo.
  • Maintain familiarity with our vendors and what products they offer (Sanmar and S&SActivewear)
  • Set up online stores (e.g., on Chipply) tailored to each customer.
  • Log and track leads, conversations, and follow-ups using Pipedrive CRM and Printavo.
  • Proactively follow up with interested customers, ensuring no lead goes cold.
  • Collaborate with production, art, and support teams to ensure accurate, timely service.
  • Offer insights to improve the customer journey and optimize sales touchpoints.

Order Fulfillment Coordination

  • Duplicate and modify past orders for returning clients (e.g., update sizes, confirm quantities).
  • Cross-check order details for accuracy before processing.
  • Maintain clear documentation of all orders and communication in shared systems.
  • Coordinate with production and logistics teams to ensure smooth order flow.

Customer Communication

  • Deliver prompt, professional responses to inbound emails and messages.
  • Verify customer information and order details with clarity and accuracy.
  • Maintain a high standard of customer experience and problem resolution.

Requirements

  • 2+ years of experience in sales support, eCommerce operations, or a similar customer-facing virtual assistant role
  • Strong written English communication and a friendly, professional tone
  • Experience with tools like Google Workspace, Slack, Notion, Printavo, Pipedrive, Shopify, or Chipply (or a willingness to learn quickly)
  • Excellent attention to detail — especially when handling order information and pricing
  • Proactive and organized, able to manage multiple requests simultaneously
  • Familiarity with product-based businesses or custom apparel is a plus
  • Must have a stable internet connection and a quiet, dedicated remote workspace
  • Familiarity with the custom apparel or promotional products industry is a plus.

 Bonus Points If You Have:

  • Experience with Printavo, Pipedrive, or Chipply
  • Background in custom apparel, embroidery, or screen printing
