Our client is looking for a Business Analyst with strong document control experience to lead the design, automation, and optimization of documentation workflows and repositories in support of nuclear industry projects. This role bridges business needs and technical solutions, ensuring that all documentation processes are compliant, efficient, and audit-ready. The ideal candidate will have a deep understanding of process mapping, workflow logic, and regulatory documentation standards, with a strong focus on automation, continuous improvement and problem solving capabilities. This position is to be based at the HQ in Bucharest.
Key Responsibilities:
Process Analysis & Workflow Automation
- Analyze existing document control processes and repositories identify opportunities for automation and optimization.
- Design and implement automated workflows using tools such as Power Automate, Nintex, or K2, ensuring traceability, version control, and approval routing.
- Develop and maintain logical process diagrams, decision trees, and workflow maps to support documentation lifecycle management.
- Collaborate with PM manager and Contract Manager to align automation initiatives with project and regulatory requirements.
Document Control & Compliance
- Administer document control systems (e.g., SharePoint, Documentum, M-Files, OpenText) and ensure proper classification, retention, and access control.
- Ensure all documentation complies with internal QA policies and nuclear regulatory standards, under QA coordination.
- Support the preparation and maintenance of audit-ready documentation, including procedures, specifications, and records.
- Track and manage corrective and preventive actions (e.g. JIRA) related to documentation and process non-conformities
Quality Assurance & Continuous Improvement
- Define and monitor key performance indicators (KPIs) for document control and workflow efficiency.
- Find solutions and lead initiatives to streamlining processes, improve efficiency, improve data integrity, document traceability, and regulatory compliance.
- Participate in internal and external audits, ensuring documentation is complete, accurate, and accessible.
- Support the development of procedures and QA training materials.
Cross-Functional Collaboration
- Work closely with engineering, QA, IT, and regulatory teams to ensure documentation supports project milestones and compliance goals.
- Facilitate workshops and meetings to gather requirements, validate process improvements, and ensure stakeholder alignment.
- Provide training and support to users on document control tools and automated workflows.
Requirements
Qualifications:
- Experience as a Business Analyst, Process Analyst, or Document Controller in a regulated industry (preferably nuclear, energy, or pharma).
- Strong experience with workflow automation platforms (e.g., Microsoft Office 365, Power Automate, Nintex, K2, JIRA, INTELEX).
- Proficiency in process modeling tools (e.g., Visio, Lucid chart, BPMN, Microsoft 365 Sensus, Planner).
- Familiarity with nuclear documentation standards (IAEA, CNCAN) and QA frameworks (e.g., ISO 9001, NQA-1).
- Excellent analytical, organizational, and communication skills.
- Ability to manage multiple projects and prioritize tasks in a fast-paced environment
