The Role
We are looking for a Records & Archiving Supervisor to lead our Records Management Department. In this role, you will oversee and optimize all processes related to both physical and digital records. You will manage a dedicated team, ensure compliance with internal policies and quality standards, and drive improvements in efficiency, security, and data accessibility.
This position plays a key role in ensuring that legal documentation is securely managed, properly stored, and readily retrievable — supporting the firm’s operational excellence.
Key Responsibilities
- Lead, organize, and supervise the daily operations of the Records & Archiving Department.
- Coordinate all archiving activities including scanning, physical/digital filing, document returns, and secure destruction.
- Monitor incoming and outgoing documentation and ensure timely handling of physical mail, invoices, and deliveries.
- Ensure compliance with internal protocols, data protection regulations, and quality standards.
- Evaluate and coach team members, promoting high performance and professional development.
- Track performance indicators (KPIs) and conduct quality control on all record-keeping processes.
- Liaise with internal teams, clients, and external vendors on matters related to documentation and archive access.
- Provide regular updates to senior management with suggestions for operational improvements and workflow automation.
Requirements
Required Qualifications:
- Bachelor's degree, preferably in Library & Information Science, Business Administration, or a related field.
- Minimum of 5 years of experience in a records management or document control role, with at least 2 years in a supervisory capacity.
- Strong proficiency in MS Office and comfort using CRM or help desk systems.
- Excellent organizational and process-driven mindset.
Preferred Qualifications:
- Working knowledge of English.
- Experience in a fast-paced, deadline-driven environment with high document volume.
