Job Description
- Report into Sr. Director of Real Estate Workplace Services
- Oversee daily activities needed to ensure a functional, efficient, and safe working environment for employees.
- Maintain Facilities in compliance with local, county, state and federal regulations.
- Manage day to day Maintenance and Operations and ensure building uptime
- Manage contract services in support of facility operational functions, including: vendor service contracts, soft services (includes janitorial, Front desk, Mailroom, Building Ambassadors, Office Supplies, Event Support & Move, Adds, Changes (MAC), Corporate Food Services, Transportation), periodic and ongoing performance & budget (KPIs, SLAs), Quarterly Business Reviews, financial review, conducting RFPs, and assuring performance of program, hard services (including MEP maintenance, elevators, general and technical maintenance, landscaping, pest control and utilities).
- Design and help implement guidelines, best practices, and standards for cross-functional service teams.
- Create a welcoming and collaborative workplace through proactive management and by building outstanding relationships with all stakeholders.
- Ensure all Workplace Experience services are delivered to standard.
- Proactively address service issues, complaints/escalations, or incidents including tracking action plan to closure.
- Work to commission and start up new offices, manufacturing plant buildings and expansions with fully functional systems and maintenance processes.
- Maintain utility account information and work with energy monitoring tool to verify data quality. Check utility consumption and spend against trend lines and budget.
- Serve as the regional Facilities representative during compliance and regulatory audit activities. Including FDA and ISO audits.
- Act as administrator for the CMMS. Oversee data quality audits, manage the performance dashboard, and interface with IT. Alongside IT, manage CMMS projects.
- Act as administrator for the BMS systems across the APAC portfolio. Oversee data analysis, assure data quality, and derive actionable conclusions. Suggest, justify, and manage BMS improvement projects.
- Actively participate in recruitment, retention and career development of facilities operations and engineering staff and other direct reports
- Lead third party facilities operations & engineering teams to ensure each property is appropriately staffed.
- Support international markets; from time to time; as necessary with technical expertise.
- Report out on program updates on a weekly, monthly basis to all levels of the organization.
- Undertake regular vendor quality checks/audits and ensure customer satisfaction.
- Develop annual operating budget for each program. Identify cost-savings opportunities. Review expenses monthly and develop variance explanations.
- Perform other duties as assigned supporting the employee experience and delivery of services.
Qualifications
- Minimum 10 years of direct, progressive professional experience in the management of facilities operations and maintenance for commercial buildings including general administrative, R&D, manufacturing plant buildings.
- Bachelor's Degree preferred, but not required. Alternatively, at least 10 years of industry experience will be considered.
- Minimum 10 years of experience in the strategic and operational aspects of facilities and workplace services in a corporate environment.
- Sound knowledge of BMS systems and managing energy opportunity projects and utility monitoring software.
- Detailed understanding of the financial analysis process, and sound business judgment.
- Strong analytical skills with knowledge of multiple corporate and industry specific software packages. (MS Office Suite, Coupa, Smartsheet, Tableau, Archibus, SnapMeter)
- Knowledge of application of local, state, federal regulations: building, mechanical, electrical, plumbing, fire protection, OSHA, LEED, Cal-Green, ADA
- Directly responsible managing and operating BMS systems across the real portfolio. Analyze data, assure data quality, and derive actionable conclusions. Suggest, justify, and manage BMS improvement projects.
- Knowledge and experience in AutoCAD Revit, Procore a plus
- Strong skills: MS Office: Word, Excel, PowerPoint, MS Project
- Understand of facilities industry benchmarking standards including typical KPIs, OKRs, and SLA.
- Knowledge of sustainability measurements and industry practices.
- Highly proficient in reading construction documents – all disciplines – architectural, mechanical, electrical, plumbing, structural, life safety, civil and site
- Strong analytical skills
- Highly developed interpersonal skills, with strong ability to lead internal and external resources, and demonstrated ability to communicate effectively with people at all levels, from individual contributor to executive leadership.
- Highly effective communication skills – writing and speaking skills through written proposals, meeting facilitation, oral presentations.
- Ability to work well in a fast paced, team environment, taking a leadership role and dealing with ambiguity effectively.
