We are seeking a highly organized and detail-oriented Transport Administrator to join our distribution team. In this role, you will play a key part in ensuring the smooth running of transport operations, managing documentation, liaising with drivers and suppliers, and maintaining accurate records to support timely deliveries. - Maintaining files daily. This can include checking and filing delivery dockets.
- Checking the truck files are in order and up to date and placing all records in the correct files.
- Maintain Vehicle Inspection check list process. Prepare Vehicle Defect Report \ Accident damage report to Transport Manager.
- Maintaining the Workday system, ensuring holidays, absence and driver contact details are all up to date as and when needed.
- Ensure that health and safety of yourself and your colleagues is a priority in everything that you do - log Health and Safety conversations, as appropriate focusing on either an ‘unsafe condition’ where we see something that could cause injury to a person or an ‘unsafe act’ which is something that someone does that can lead to injury.
- Deliver excellence in customer experience (CX) by embodying Calor’s values and upholding the standards of accountability, seamless service, and curiosity.
- Taking and making calls to ensure queries are dealt with efficiently.
- Working alongside employees and transport managers to ensure any daily requests have been processed and communicated.
- Ensure all driver and truck documentation is up to date as required.
- Prepare driver hours reports for Employment Agencies weekly.
- Processing both employee and agency worker hours to ensure wages are accurate.
- Ensuring all drivers records in relation to attendance are accurate and in line with HSA requirements.
- Prepare reports as and when needed to support the Transport Manager. This could include rota’s, telematics reports, invoices, and audits.
- Provide the driver security document for all Known Supplier deliveries to DAA. Maintain all Known Supplier records. Issue updates to driver as they occur.
- Placing orders as and when needed directly through Calor or from third party suppliers.
- Health and Safety is at the forefront of our business, so PPE stock levels always need maintained and employees have the correct equipment. Ensuring all PPE that has been issued is accurately recorded and signed off in line with QHSE guidelines.
- Maintain the notice boards ensuring all business updates are clearly displayed and outdated material removed.
- Maintain all training records digitally, ensure all records are kept up to date and book training courses as and when needed. Communicate any training opportunities to the Transport Manager.
- Preparation and updating of daily, weekly & monthly transport operations related reports.
- Prepare and report site stock figures in line with Company procedures.
- Liaise with scheduling regarding driver availability and time off
- Issuing of P/O's and work authorizations.
- Manage fleet spreadsheet for Claremorris and Tivoli in terms of renewal/test dates for tax, CVRT, ADR, periodic and annuals. Book CVRT, ADR testing. Issuing of discs/certs to correct trucks, filing copies.
- Update truck availability schedule.
- Update driver rosters
- Assist transport manager with all day to day functions during office hours.
Requirements
- Proven experience in a transport, logistics, or administrative role (ideally 1–2 years).
- Strong organisational skills with excellent attention to detail.
- Proficient in Microsoft Office Suite, particularly Excel and Outlook.
- Ability to manage multiple tasks and priorities in a fast-paced environment.
- Excellent communication skills, both written and verbal.
- Familiarity with transport management systems (TMS) or similar software is an advantage.
- A proactive and problem-solving mindset with a focus on continuous improvement.
- Ability to work independently and as part of a team.
- Knowledge of transport regulations and compliance (desirable but not essential).
- Flexibility to adapt to changing schedules and operational needs.
