The People & Organization Assistant supports key talent management processes for freelancers, ensuring a smooth onboarding and offboarding experience. This role manages wellbeing programs, community engagement activities, and personal development follow-ups. The assistant also handles internal event coordination, administrative record-keeping, and compliance with company policies.
Your main responsibilities will be:
1. Onboarding & Offboarding
- Support the planning and execution of welcome ceremonies for new freelancers.
- Coordinate the completion and signing of contracts and required forms, ensuring all documentation is complete and up to date.
- Follow up on freelancers during their integration period and document their progress.
- Assist with the logistics and documentation involved in offboarding processes.
2. Wellbeing & Community Management
- Manage the suggestion box and ensure ideas and feedback are directed to the relevant teams.
- Support the coordination of freelancer benefits such as loans, partnerships, and special programs.
- Maintain the birthday and anniversary calendar, send celebration emails, and prepare cards.
- Coordinate the delivery of gifts and recognitions, especially with vendors outside Maracaibo.
3. Engagement & Development
- Follow up on freelancers' Personal Development Plans (PDP).
- Assist in organizing internal events, both virtual and in-person, such as Team Gatherings, Christmas, Halloween, Anniversaries, and other occasions.
- Prepare monthly messages for our internal newsletter.
4. Administrative Processes & Compliance
- Support the documentation of incidents and disciplinary processes.
- Keep all administrative records and reports up to date.
- Ensure internal policies are clearly communicated and properly implemented.
Requirements
- Proven experience in HR administration or support roles, preferably in dynamic and people-centered environments.
- Excellent verbal and written communication skills in English.
- Strong interpersonal skills with a genuine ability to connect with diverse individuals and foster a sense of community.
- Demonstrated creativity and initiative in designing and executing engagement or wellbeing initiatives.
- Comfortable facilitating group activities, leading small events, and supporting team dynamics.
- Highly organized and detail-oriented, with the ability to manage multiple projects and maintain accurate records.
- Trustworthy and discreet with confidential information.
- Proficient in Microsoft Office Suite and Google Workspace (Drive, Sheets, Calendar).
- Self-motivated, proactive, and adaptable, with the ability to work both independently and collaboratively across teams.
Schedule: Monday through Friday from 08:00 am to 05:00 pm
During the first three months, you will need to work on-site at the Valle Frio office. After this period, your schedule will transition to a hybrid model, with two days in the office and three days working remotely each week.
