This is an exciting opportunity for a highly organized and self-driven professional to contribute to the planning and delivery of high-impact virtual and in-person programs. In this fast-paced, deadline-oriented environment, you will support cross-functional teams to coordinate logistics, communications, and event execution. The ideal candidate thrives under pressure, communicates clearly, and enjoys balancing multiple priorities across time zones. Your attention to detail and passion for customer service will play a key role in ensuring seamless program operations and an exceptional participant experience.

Accountabilities:

  • Coordinate and manage logistical elements for assigned programs, including event registration via CVENT, calendar holds, and communication with AV vendors.
  • Monitor and report on RSVP status, deploying recruitment tactics as needed to meet participation goals.
  • Support digital workshop execution, including live virtual sessions up to three times per month and during major congresses.
  • Maintain accurate documentation and task tracking, including daily updates to program trackers and timely email responses via shared inbox.
  • Finalize event closeout deliverables, such as post-event communications and participant lists.
  • Collaborate with internal teams, including account managers and the Program Service Director, to ensure program alignment and effective execution.
  • Participate in business development efforts by supporting broader team initiatives and cross-functional collaboration.

Requirements

  • Bachelor’s degree with a minimum of 2 years of experience in coordinating event logistics or similar roles.
  • Demonstrated ability to manage multiple concurrent projects, meet tight deadlines, and adapt to changing priorities.
  • Strong organizational skills and attention to detail, with excellent verbal and written communication.
  • Familiarity with digital marketing and virtual platforms; prior experience using CVENT is a plus.
  • Availability to work some evenings to support live virtual events.
  • Comfort operating independently in a remote, collaborative, and time zone-diverse team.
  • Willingness to travel occasionally (less than 5%) for client or project needs, both domestically and internationally.
