Real Estate Ops & Marketing Partner (aka Unicorn)

Location: Remote (Philippines or LATAM preferred)
Availability: 40 hours/week
Compensation: Competitive based on experience

What You’ll Actually Be Doing

You’re not stepping into a system. You’re building the system.
You’ll work directly with high-level real estate clients to take ownership of:

1. Admin & Operations

  • Bring structure to the madness: clean up inboxes, calendars, docs, and follow-ups
  • Stay 5 steps ahead of your client and keep transactions on track
  • Create systems and SOPs where none exist — from listing workflows to lead management
  • Own file and database organization to keep things searchable and stress-free
  • Follow through on open loops and action items so nothing slips through the cracks

2. Marketing & Brand Growth

  • Build their brand presence from the inside out: social posts, flyers, email campaigns
  • Keep listings fresh, accurate, and visible across MLS and marketing platforms
  • Assist with client-facing content (updates, communications, follow-ups)
  • Use tools like Canva and your design instincts to elevate how they show up
  • Ensure brand consistency across touchpoints, templates, and assets

3. Client & Deal Support

  • Communicate clearly with buyers, sellers, and vendors
  • Proactively update clients without being asked
  • Ensure every transaction is smooth and every client feels cared for
  • Handle listing coordination and showing schedules
  • Draft or manage client updates and check-ins

4. AI-Powered Efficiency

  • Use AI tools to draft emails, summarize meetings, and research comps faster
  • Turn repeatable tasks into workflows with templates and smart automation
  • Help the team save time, reduce context switching, and stay focused on growth
  • Test and implement tools that simplify client and listing management

Requirements

  • Minimum 3 years of experience in real estate admin, operations, transaction coordination, or similar roles.
  • Proven ability to manage multiple priorities and transactions in a fast-paced environment.
  • Strong written and verbal communication skills; able to draft clear, professional emails, updates, and marketing copy.
  • Hands-on experience with MLS platforms, CRMs, and common real estate tools.
  • Proficiency in Google Workspace, Microsoft Office, Canva, and social media platforms.
  • Familiarity with AI tools to enhance productivity.
  • Exceptional organizational skills, attention to detail, and follow-through.
  • Ability to think critically, adapt quickly, and bring structure to ambiguity.
