What You’ll Actually Be Doing
You won’t just support. You’ll lead from behind the scenes.
You’ll work directly with high-level clients to take ownership of:
1. Admin & Operations
- Manage calendars, inboxes, task boards, and file systems with clarity and consistency
- Own internal ops: SOPs, documentation, and day-to-day accountability
- Ensure deadlines are hit, details are clear, and chaos is kept out of the workflow
2. Project & Client Management
- Coordinate timelines, dependencies, and cross-functional execution
- Be the point of contact for internal or client communications — you keep everyone aligned
- Keep projects moving forward while anticipating what’s next
3. Brand & Design Support
- Assist with visual asset creation in Canva (or similar tools)
- Support content and design requests: decks, graphics, one-pagers, email creatives, etc.
- Ensure brand consistency and polish across touchpoints
4. CX & Communication
- Draft or manage outbound client comms: updates, recaps, reminders, follow-ups
- Make sure clients feel supported and nothing falls through the cracks
- Be the face of reliability and proactive care in every interaction
5. AI-Powered Efficiency
- Use AI tools to summarize meetings, brainstorm content, and speed up execution
- Build repeatable workflows that save time and reduce human error
- Think like an operator: where can tech make us sharper, not just faster?

Requirements
- Minimum 3 years of experience in administrative support, operations, project management, marketing support, or similar roles.
- Proven ability to manage multiple priorities, deadlines, and stakeholders in a fast-paced environment.
- Strong written and verbal communication skills; able to draft clear, professional emails, reports, and updates.
- Hands-on experience with:
- Managing inboxes, calendars, documents, and task tracking systems.
- Creating SOPs, workflows, and improving internal processes.
- Supporting brand initiatives through email campaigns, social media scheduling, and light graphic design (e.g., Canva).
- Maintaining positive client relationships and providing proactive support.
- Proficiency with productivity tools such as Google Workspace, Microsoft Office, and project management platforms (e.g., Asana, ClickUp, Trello).
- Familiarity with AI tools (e.g., ChatGPT, Jasper) to draft, summarize, research, and enhance efficiency.
- Exceptional organizational skills with attention to detail and follow-through.
- Proactive, resourceful, and capable of solving problems independently.
- Ability to think critically, adapt quickly, and bring structure to ambiguous situations.
